Group Sales and Group Holds for Event Ticketing

Groups, Organizations & Households · Group Holds

Group sales that put every attendee in your patron database.

Reserve a block of seats for a school, a tour, a company, or a church. Share one link. Each person in the group pays for their own tickets, gets their own patron record, and shows up in your reports with the performance they attended. The group leader never collects money, and you never lose the people behind the sale. Built in, with no third-party add-on.

The difference

Most ticketing knows one person in a group of forty. ThunderTix knows all forty.

A traditional group sale is one order, one buyer, one email address. The teacher, the tour operator, or the office manager pays for the whole block, and the other 39 people are invisible to your marketing. You cannot email them about next season, score them for lifecycle campaigns, or ask them for a gift, because your database has no idea they were there.

With a ThunderTix group hold, every member completes their own checkout and is added to the group automatically. Each person becomes a full patron record with their email, their order, the performance they attended, and the group they belong to. Your database grows by the size of the group, not by one.

BUILT IN

Other platforms that get close to this rely on a separate group-sales tool bolted onto the box office, or on custom development. In ThunderTix, group holds, the shared purchase link, individual checkout, and a patron record for every member are part of the platform on every plan.

Group holds

Seated together, guaranteed.

For reserved seating, pick the exact seats on your chart. Those seats come off the public map and are held for the group. Members who open the link choose only from that block, so the group sits together no matter who buys first. For general admission, set a quantity instead.

Every hold has an expiration date. Unsold seats return to public inventory on their own when it passes. Liaisons receive reminder emails before the deadline so seats are not lost by accident, and you can extend, edit, or cancel a hold at any time. Purchased seats are always protected.

GENERAL ADMISSION TOO

Group holds work the same way for general admission events. Set the number of tickets instead of picking seats on a chart. The liaison gets the same email, members buy through the same link and choose only how many tickets they want, the discount applies, and unsold tickets release on the expiration date. Everything else on this page applies to both.

The liaison gets the link the moment the hold exists. So can every member.

Name one or more liaisons on the group. When you create a hold, every liaison receives a branded email with the purchase link, the performance, the number of seats, the expiration date, and simple instructions for sharing it. If you would rather skip the forwarding, choose to email the purchase link to every member of the group automatically as well. You can also message the whole group or just the liaisons at any time using your saved templates.

Members open the link, choose their seats, pick a ticket type, and check out on their own card. They are added to the group automatically and linked to the hold. Nobody on your staff types a name into a spreadsheet.

Discounts, phone orders, and refunds all understand the hold.

Attach a group discount to the hold and every order through the link gets it, even a single ticket. The same coupon can still apply to regular public orders that meet your minimum, and every discount appears on your reports.

When a member calls or walks up, staff process the order against the hold with cash, check, or card. It draws from the group's seats, applies the discount, and lowers the remaining count. If a member refunds while the hold is active, the seat goes back to the group for someone else to claim.

How it works

Four steps from a phone call to forty paid patrons

Set up the group once. After that, every new performance is a hold and a link.

1

Create the group

Add the school, company, tour, or household. Add members by name or email, or create new patrons on the spot, and give each one a role. Liaisons are the people who hear from you automatically.

2

Create the hold

Pick a performance, choose seats or a quantity, set the expiration, and add an optional discount and notes. The seats are held for the group.

3

Share the link

Liaisons get the branded email with the link right away, or ThunderTix emails every member directly. One link works for the whole group.

4

Members buy

Each person picks seats, pays, and becomes a patron linked to the group and the performance. Unsold seats release when the hold expires.

The full toolkit

Everything a group needs, on one group page

Open any group and the tabs on the left are the full picture: orders, roster, members, holds, notes, and giving.

Buyers join the group on their own

Anyone who purchases through the group link is added to the group as a member automatically, with their own patron record. The roster builds itself as the tickets sell, and the whole group is ready for the next hold.

Every hold on one page

A single Group Holds view lists every active and expired hold across your venue with quantity, purchased, remaining, discount, and link status.

Roster for show night

Pick a performance and see every member, who paid, who is pending, and who has no ticket yet. Print it or export it for check-in.

Ticket types and upgrades per seat

Lock a hold to one ticket type, or let each member choose Adult, Student, or pay-what-you-can per seat. Flexible Ticket Upgrades work on group purchases too.

Change the hold as the group changes

Raise the quantity, add seats, extend the expiration, swap the ticket type, or cancel. Seats already purchased or in checkout stay protected.

Giving, rolled up by group

Donations from members are credited to the group as well as to the donor. Assign any order or donation to a group at checkout so corporate and family giving is tracked in one place.

Households share one address

Families and couples are groups too. Give a household one billing address, shipping address, and phone, and push it to every member with a checkbox.

On the patron profile and the order

Every patron's profile lists the groups they belong to. Every order shows its group with a link. Search groups by name, or type-ahead from the CRM.

Email the group in one click

Message every member, or only the liaisons, with your saved email templates. Opt-out preferences are honored.

Staff notes and history

Keep private notes on each group, see every order it has ever placed newest first, and review who was added or removed.

Who it is for

Any group where one person organizes and many people attend

School field trips and drama clubs

Hold the block, send the teacher the link, and let each family pay at home. No permission-slip cash, no spreadsheet.

Tour operators and motor coach groups

Reserve the rows, set a deadline that matches the itinerary, and see who has paid at a glance.

Corporate outings and employee nights

The office manager shares one link. Every employee who buys becomes a patron you can invite back on their own.

Churches, scouts, and civic clubs

Groups that come back every season get a profile, a liaison, and a history, so next year starts with a hold instead of a cold call.

Senior communities and HOAs

Activity directors reserve seats for residents who each pay separately, with a roster ready for the bus.

Families and households

Couples and families roll up under one household for giving and mailings while each person keeps their own purchase history.

Forty new patrons, ready for everything else ThunderTix does

Group members are not a separate list. They are patrons. RFM scoring and lifecycle segments pick up each member's first visit. Mass email and automated workflows reach every member individually. Fundraising sees each member as a prospect and the group's giving as a whole. And next season starts from the group page with a new hold in a couple of minutes.

Questions, answered

Groups and organizations FAQ

Does the group leader have to collect money from everyone?

No. The liaison shares one purchase link, or ThunderTix emails it to every member for them. Each member completes their own checkout with their own payment method. The venue sees every order, and the liaison never handles anyone else's money.

Will a reserved seating group actually sit together?

Yes. A reserved seating hold locks specific seats on your chart. Members can only choose seats inside that block, so the group stays together regardless of who buys first.

Do group holds work for general admission events?

Yes. For a general admission performance you set a quantity instead of choosing seats on a chart. Everything else is the same: the liaison receives the link automatically, each member buys their own tickets, the group discount applies, and unsold tickets return to public sale when the hold expires.

What happens to seats nobody buys?

Every hold has an expiration date. When it passes, unsold seats return to public sale automatically. You can also extend the hold, cancel it early, or release seats by hand at any time. Purchased tickets are never affected.

Can we give the group a discount?

Yes. Attach a group discount to the hold and every order placed through the link receives it with no minimum ticket count. The same coupon can still apply to regular public orders that meet the minimum you set, and all discounts appear on your reports.

Can the box office sell from the hold too?

Yes. Staff can process an order against an active hold for a member who calls or walks up, using cash, check, or card. The order draws from the group's seats and lowers the remaining count, so the link and the counter never oversell the same seat.

Do group members end up in our patron database?

Yes. Each member who buys through the link gets a full patron record and is added to the group automatically. Their order, the performance they attended, and their group membership all live on their profile, and they are included in RFM scoring, lifecycle segments, mass email, and workflows like any other patron.

Is there an extra charge for groups and group holds?

No. Groups, Organizations, Households, and Group Holds are included with ThunderTix on every plan.
