Flex Passes: A How-To Guide

Using Flex Passes:

Flex Pass Coupons are used if you want to offer season passes to customers. When customers purchase a season pass, they will receive a flex pass coupon code for all the events you are offering that season. Customers pay for the season pass and will, at a later date and time, use the flex pass coupon codes they received in their email to get the event tickets for free.

Flex Passes allow customers the ability to buy tickets for the whole season, but gives them the flexibility to select their desired seats and performance times whenever they choose.

The Flex Pass Advantage

The advantage of using Flex Pass coupons to offer season passes is that, in many cases, it is difficult for your customers to plan for an entire season ahead of time. Flex Pass provides your buyers with the flexibility of not having to choose all of their event dates ahead of time like they would if they bought a regular package.

Types of Flex Passes

There are three different types of Flex Passes available, the Standard Flex Pass, the Punch Card Flex Pass, and the Limited Use Flex Pass.

Flex pass options

The Standard Flex Pass coupon option allows customers to only use each coupon just once for each included event.

Like the Standard Flex Pass, the Punch Card will also generate and send a coupon/voucher code via email for each flex pass purchased. Then, as with the Standard Pass, you select to which events those voucher codes will apply.

By default, the flex pass has the same number of "punches" as the number of included events.  So, if there are 5 events, it will be good for 5 punches any way the customer wants to redeem them.  However, you can enter your own punch card quantity.  If your flex pass includes 8 events, you may only want to create it with 5 punches -- good on any 5 events they choose or for up to 5 punches in any combination. With the Punch Card, your customers decide how and when to use their vouchers — once per show, 3 times for one show and twice for another, or any combination they see fit.

Limiting a Flex Pass for sections on your seating chart

To limit a Flex Pass that is restricted by sections on your seating chart follow the steps below. Please note that the Flex Pass will only be valid in the sections of your chart you selected. 

  1. Head to Events > Package Manager
  2. Click Create Package
  3. Enter the basic information for your package on the Package Basics tab
  4. Select your selection method- Pick All and Pick Any will work with this functionality
  5. Select the events you'd like to include on your package.
  6. For Ticket Delivery, select Flex Pass and how you'd like to set up your flex pass- Standard Use, Limited Use, or Punch Card.
  7. On the Pricing tab, enter in the name and price of your Flex Pass. There will be a new option titled 'Sections'. Click on All Sections to assign pricing to specific sections.
  8. Select what sections you'd like to assign to each ticket type. For example, you may offer a Preferred, Standard, and Value ticket type. Preferred is typically the best available seats, Standard is the next best available, and Value seats are the seats offered at a discounted rate.
  9. Repeat this process for each level/ticket type you'd like to create by clicking 'Add Another Ticket' for each ticket/level you'd like to add.
  10. Add any fees or additional options such as public access and activation dates to your package.
  11. Click Finish to complete your package.

How to set up a Standard Flex Pass

To offer season passes, you first need to have all your events created for the season. If you are not familiar with creating an event, visit our creating events guide.

Once you are accustomed to the process of creating an event, follow the instructions below. These instructions only cover the pertinent options while creating a flex pass event.

  1. Head to your Package Manager and select +Create Package
  2. Enter a name such as “2024 Season Package” or "2023-2024 Flex Pass"
  3. Optionally enter a package description and image.

  4. Under the Selection Method tab, select Pick All
  5. Under Included Events, select the checkbox next to the event name to include it in the flex pass.


  6. Under Ticket Delivery, select the Flex Pass option

  7. Create your package ticket pricing under the Pricing tab
  8. Under Additional Options, set any optional features such as an expiration date, maximum packages per order, and including a survey.
  9. Under Shipping and Fees, set any fees you would like to charge with your package and any shipping methods you'd like to include (will call, mobile tickets, etc.)
  10. Click Finish to finish creating the flex pass season package

Setting up your Flex Package with the 'Punch Card' option

The Punch Card option allows your customers the flexibility to choose which events they'd like to attend.

  1. Follow Steps 1-3 from above for setting up your flex pass.
  2. When you get to the 'Selection Method' tab select 'Pick Any'. Then enter the minimum number of events your customers get to choose from.
  3. Select which events you would like to include in your Flex Pass.
  4. When you get to the 'Ticket Delivery' tab, select 'Flex Pass' and toggle the 'Punch Card' option to yes. From there, enter in the total number of redemptions you would like your customers to be able to use. We recommend allowing customers to redeem their flex pass for at least two tickets for each event offered in your Flex Pass.
  5. Follow steps 8-10 from above to finish setting up your flex pass.

Setting up a Limited Use Flex Pass

The Limited Use Flex Pass sends customers a code that is valid for a set number of redemptions (e.g., 6 uses for 10 events). They can choose any 6 events to attend but cannot exceed the total redemption limit.

  1. To set up your Limited Use Flex Pass follow Steps 1-3 from above for setting up your flex pass.
  2. Under the Selection Method tab, select Pick All.
  3. Select which events you'd like to include in your package. For this particular package, you'll want to check the box next to each event name (not next to an individual performance) included in the package.
  4. Under Ticket Delivery, choose Flex pass and toggle 'Limited Use'.
  5. Select the total number of redemptions you'd like to include on your Flex Pass. For example, you may offer 10 shows in your Flex Pass but only want to allow 6 redemptions.
  6. Follow steps 8-10 from above to finish creating your Limited Use Flex Pass!

Congratulations!! Now, you can sell season passes giving your patrons the flexibility to reserve their dates and choose their seats!
