Class Manager: Sell Classes, Camps, and Workshops

Class Manager is ThunderTix's home for education and recurring programs. Dance semesters, theatre camps, weekly workshops, and any offering that meets across multiple dates rather than a single performance.

What Class Manager Does

Class Manager lets your venue create class offerings, sell enrollments online or at the box office, track rosters, and check participants in session by session.

Classes are separate from Events. Do not create an event or performance for a class. Enrollments use their own checkout flow, similar in spirit to memberships.

The Vocabulary of Classes

Class offeringThe program you sell: name, description, dates, overall capacity, and cover image.
SeriesA recurring program on a regular weekly schedule, such as Fall Ballet on Tuesdays for 16 weeks.
CampA program held over consecutive days, such as Summer Acting Camp, Monday through Friday for one week.
Class sessionOne meeting time within the offering: date, start and end time, and optional location.
Enrollment tierA purchasable pricing option, such as Early Bird for $150 or Regular for $200.
EnrollmentOne person registered in a tier, linked to a guardian and a participant.
GuardianThe patron who registers and pays: a parent, caregiver, or the attendee themselves.
ParticipantThe person who attends. Either the guardian or a dependent on the guardian's account.

Where to Find Class Manager

  1. Log in to your ThunderTix admin site.
  2. Open the Classes menu in the toolbar. It is currently labeled BETA.
  3. Choose Class manager.

Also available from the Classes menu: Calendar, which displays all class sessions. Shared class waivers live under Forms > Class waivers. Class surveys are created under Forms > Surveys using the Classes registration type.

The Class manager page lists all of your class offerings. Select Create class to start a new program, or select an existing class name to open its detail page. On your first visit, you may see an in-app Classes tutorial, which can be reopened from Class Manager at any time.

Requirements

Before you begin

Your account must use Stripe. Without Stripe, Class Manager displays a connect-Stripe page instead of the create and edit tools. Connect Stripe, or ask your account owner or primary user to connect it, to unlock Classes. ThunderTix bills $1 per enrollment.

Choose Series or Camp

The first decision when creating a class is the offering type. This determines how ThunderTix helps generate the schedule.

Series

Best for: Weekly classes that run over a semester or term.

Example: Fall Ballet. Tuesdays for 16 weeks.

Schedule helper: Generates one session per week on the weekday of the start date.

Camp

Best for: Intensive, multi-day programs.

Example: Summer Acting Camp. Monday through Friday for one week.

Schedule helper: Generates one session per day from the start date through the end date, with an optional Weekdays only setting that skips weekends.

Important

After the first patron enrolls, the offering type cannot be changed. Choose Series or Camp carefully before going live.

Series limitation: The Series generator supports one weekday, based on the start date. Multi-day weekly series (such as Monday and Wednesday) are not supported by the generator yet. Add the additional sessions manually.

Create a Class Offering, Step by Step

Select Create class, or open the Settings tab on an existing class, and work through the sections below. You can select Save draft at any time to continue working without publishing.

Important

There is currently no delete option for a class offering. To retire a class, set the End date in the past, or allow the date to pass, so the class archives.

Class Basics

Offering type: Series or Camp.
Name: The patron-facing title, such as Summer Musical Theatre Camp, Ages 10-14.
Description: Appears on the public class page. Include a schedule summary, what participants should bring, dress code, and other important details.
Category: An optional label, such as Dance, Theatre, or Music, used for organization.
Cover image: An optional promotional image.
Downloadable files: PDFs or forms emailed to enrolled patrons after registration. Downloads become available after saving a draft.

Visibility and Enrollment Dates

The Publish toggle controls whether patrons can see the offering. New classes begin unpublished as drafts.

Publish: Off means the class is a staff-only draft. On means patrons can see the class, subject to the dates below.
Announce at: When the class becomes visible before enrollment opens. Leave blank to show the class immediately after publishing.
Enrollment opens at: When patrons may begin registering online. Leave blank to open immediately after publishing.
Enrollment closes at: When online registration stops. Leave blank to close on the End date.
End date: When the offering archives. Leave blank to keep it open indefinitely.

A Typical Pre-Sale Flow

  1. Publish the class and set Announce at to a future date. Patrons see Coming Soon when the announcement date arrives.
  2. When Enrollment opens at arrives, online registration opens if the class is otherwise ready.
  3. When Enrollment closes at or the End date passes, patrons see Registration Closed.
Staff note

Staff may use + Enroll patron during the pre-sale period after the class is published and has tiers, even before online enrollment opens.

Schedule and Class Sessions

Every class needs at least one session before it is ready for enrollment.

Start date: Required. For a Series, the start date also determines the weekday used by the weekly schedule generator. A Tuesday start date generates sessions on Tuesdays.

Generate a Schedule

  1. Set the default start time, end time, and optional location. These values apply to every generated session.
  2. For Camps, optionally select Weekdays only (Monday-Friday).
  3. Select Generate schedule. ThunderTix previews how many sessions will be created.
  4. Edit individual sessions afterward with Add session, or clear the schedule and regenerate it when needed.

After generation, individual sessions can be added, edited, or removed. Once sessions exist, the Schedule section displays the session list with Clear schedule and Add session instead of the generator. A session with check-ins cannot be deleted.

Capacity and Age Range

Capacity: The maximum number of enrollments for the entire class. Leave blank for unlimited enrollment.
Minimum and maximum age: Optional. Use these fields for age-specific programs.

Capacity includes active enrollments with completed payments and pending checkout holds. An order in progress may temporarily hold a space until payment is completed or the order is canceled.

Enrollment Tiers

A tier is a purchasable pricing option for the same class. Most venues use at least one tier, and many use several:

  • Early Bird - $150, limited spots, available until a specific date.
  • Regular - $200.
  • Late Registration - $225, opening after Early Bird expires.

After saving the class as a draft, select Add tier. Each tier includes:

Name: The patron-facing label, such as Early Bird.
Tuition: The price for the tier.
Capacity: The maximum enrollments in this tier only. Leave blank to limit enrollment only by the overall class capacity.
Per-patron limit: The maximum registrations one guardian can hold in the tier. Useful for sibling or household caps.
Available from and Expires at: Optional dates controlling when the tier can be purchased.
Important

A class needs at least one tier before it is ready for enrollment. A tier cannot be deleted after it has enrollments, or when it is the final tier on an active class.

Waivers

Attach liability waivers that patrons must sign during enrollment. Every active waiver attached to the class is required.

  • Reuse waivers from your venue library, or create a new waiver for the class.
  • Inactive waivers remain on file but do not block enrollment completion.
  • Waivers that patrons have already signed cannot be deleted. Deactivate them instead.

Surveys

Link class surveys to collect registration information such as allergies, T-shirt size, or experience level. Create surveys under Forms > Surveys and select Classes registration as the survey type.

Surveys may be collected per enrollment, once for each participant, or per order. Required survey questions affect the enrollment readiness status shown on the roster.

Status Messages

Customize the patron-facing language displayed throughout the registration window.

Sign-up button text: Default: Sign Up. Displayed while the class is active and open for enrollment.
Sold out message: Default: Sold Out. Displayed when the class or tier reaches capacity.
Pre-sale message: Default: Coming Soon. Displayed when the class is visible but enrollment has not opened.
Post-sale message: Default: Registration Closed. Displayed after enrollment closes.

Registration Fee

The registration fee is an optional charge added to the tier tuition. It appears as a separate fee on the order rather than being included in the tuition line. Leave it at $0 when charging tuition only.

Save and Publish Checklist

  • Stripe is connected to the account.
  • Publish is turned on.
  • At least one class session exists.
  • At least one enrollment tier exists.
  • Announce at has passed or is blank.
  • Enrollment opens at has passed or is blank.
  • The class is not at capacity and enrollment has not closed.

The status badge summarizes each class as Draft, Presale, Active, Registration closed, or Archived.

The Class Detail Page

Open a class from Class Manager to access five tabs:

Overview: Enrollment counts, capacity bar, tiers, upcoming sessions, recent enrollments, and waiver or survey compliance.
Roster: The full participant list, filters, search, and exports.
Check-in: Attendance tracking for each session.
Sessions: The session list with check-in counts.
Settings: The same setup form used to create or edit the class.

Header actions include + Enroll patron, which opens the staff box-office enrollment wizard when the class accepts enrollments, and View public page, which opens the patron-facing class page when the class is publicly viewable.

How Enrollments Work

Online Self-Service for Patrons

  1. The patron visits your public site and opens the Classes listing or a direct class link.
  2. The patron opens the class detail page and selects Sign Up when the class is available for purchase.
  3. The patron completes guardian information, participant selection, tier selection, waivers, and surveys on one page.
  4. The patron pays through standard checkout.
  5. The patron receives a class registration confirmation email, including any downloadable files attached to the class.

Online Sign Up is available when the class is published, has sessions and tiers, is within the announcement and enrollment windows, and is not sold out or closed. Tiers outside their availability window are marked Unavailable. Continue to checkout remains disabled until an available tier is selected.

Box Office Enrollment for Staff

  1. Open the class and select + Enroll patron.
  2. Guardian: Search for an existing patron by email or create a new patron.
  3. Participants: Select the guardian and/or their dependents. Use Add dependent to create and save a new child, then select that participant.
  4. Tier: Assign an enrollment tier to each participant. Only currently available tiers can be selected. A tier outside its availability window displays its start date.
  5. Complete required waivers and surveys.
  6. Review the guardian, participants, tiers, and tuition, then continue to payment.
  7. Finish through standard order checkout using a card, Stripe Terminal, cash, gift card, or Comp order.

Box Office Troubleshooting

If + Enroll patron is disabled: The class must be published, have at least one tier, not be archived, and have an Active or Presale status. A class in Post-sale cannot accept box-office enrollments.
If you cannot continue past the Tier step: Every tier may be outside its availability window. Go to Settings > Enrollment tiers > Edit and set Available from to the current time, or leave it blank.

What ThunderTix Creates

  1. One enrollment for each participant.
  2. An order containing the tuition for each participant and any registration fee as a separate line.
  3. After payment is completed, the enrollment becomes active and counts toward capacity.

Capacity Rules

  • Class capacity: Total active enrollments cannot exceed the overall class limit.
  • Tier capacity: Each tier may have its own limit within the class.
  • Per-patron limit: One guardian cannot exceed the tier's registration limit for that tier.
  • Checkout holds: A patron in checkout may temporarily hold a space until the order is completed or canceled.

Enrollment Readiness on the Roster

Each enrollment displays a readiness status on the Overview and Roster tabs:

Complete: Active; all waivers are signed and all required surveys are submitted.
Waiver pending: Active; one or more waivers remain unsigned.
Survey pending: Active; a required class survey has not been submitted.
Action required: Both waiver and survey requirements remain outstanding.
Duplicate review: A possible duplicate registration that staff should review.
Dropped: The enrollment is canceled and does not count toward capacity.

Guardian vs. Participant

  • A parent enrolling two children creates two enrollments with the same guardian and two different participants.
  • An adult enrolling themselves is both the guardian and the participant.
  • Participants must belong to the guardian's account, as either the guardian or a dependent profile.

Dropping an enrollment

This action is not available in the interface yet. The roster menu displays Drop enrollment as disabled with Coming soon. Contact ThunderTix Support when an enrollment must be removed or capacity released before this feature ships.

Managing the Roster and Check-In

Roster

Go to Class Manager > open the class > Roster tab. Access requires the Classes roster access permission, an administrator or primary user role, or Add/Edit Events permission.

  • Filter by readiness status or tier, and search by participant or guardian name.
  • Open row actions and details for the enrollment, guardian, dependent health profile, waivers, and surveys.
  • Export roster queues a CSV file on the Downloads page. Select the fields to include; enrollment details are always included. The export may contain confidential health information and should be handled carefully.
  • Export waivers queues a PDF export of signed waivers.

Check-In

Go to Class Manager > open the class > Check-in tab. Access requires the Classes check-in access permission.

  1. Choose a session date from the filter options.
  2. Review the participants enrolled for that session.
  3. Check attendees in and out as they arrive and leave.

Check-in is tracked by session rather than by the entire class, making it useful for camps and series with attendance tracking.

Public Class Page

When the class is published and its Announce at time has passed, it appears on your venue's public Classes listing. Patrons see the description, schedule, tiers, and status messages.

Select View public page on the class detail screen to open the patron-facing page in a new tab. From that page, Sign Up begins online enrollment when registration is open. When registration is not open yet, patrons see the pre-sale message instead.

Staff Permissions

Go to Users > edit user > Specific Permissions to configure access:

Add/Edit Events, administrator, or primary user: Create and edit classes, settings, sessions, and tiers, and perform box-office enrollments.
Classes roster access: Open the Roster tab, participant details, waiver and survey compliance information, and exports.
Classes check-in access: Open the Check-in tab only.

Users with only roster or check-in access may open Class Manager for those tabs but cannot create or edit class settings.

Common Scenarios

Create two tiers: Early Bird with an Expires at date, and Regular with Available from set to the same date. Patrons only see tiers that are currently available.

Set Per-patron limit to 2 on the Early Bird tier.

Turn Publish on, set Announce at to the current time or an earlier date, and set Enrollment opens at to the registration opening date. Patrons see the class with the Coming Soon message until enrollment opens. Staff may still use + Enroll patron during this period.

Change the offering type before anyone enrolls. After the first enrollment, the type is locked. Contact ThunderTix Support if it must be corrected afterward.

Confirm that the user has Classes access or Add/Edit Events permission, and that the account's payment gateway is Stripe. Non-Stripe accounts see the Stripe information page instead of Class Manager tools.

Check Publish, sessions, tiers, announcement and enrollment dates, capacity, and whether enrollment has closed. Staff may still be able to enroll through + Enroll patron during Presale.

Confirm that the waiver template is active on the class. Only active waivers are required. When the patron signed an older version, staff may need to request a new signature.

Drop enrollment from the roster is coming soon. Contact ThunderTix Support for assistance until the action is available.
